IT Collaboration and Communication Services

For institutional needs, SISSA can provide a range of communication and collaboration services.

  • Distribution List → Send emails to a predefined group of recipients using a single address.
  • Shared Mailbox → Allow multiple users to manage a common institutional email address, such as those used for offices, services, projects, or events (e.g. eventXXX@sissa.it).
  • Group → Share resources such as a mailbox, calendar, and documents with a defined group of users (with or without a dedicated email address).
  • Team → Support day-to-day collaboration through conversations, meetings, channels (subgroups), file sharing, and a common cloud workspace for documents and project data (with or without a dedicated email address).

  • ALIAS: an alias is simply an additional (or secondary) email address assigned to an existing one.
Aliases can be useful when a single office, service, or group needs multiple contact addresses. For example, “service-a@sissa.it” and “service-b@sissa.it” may both deliver messages to the same mailbox, avoiding the need to manage separate accounts.

To request a new collaboration service, please contact the Helpdesk (with your P.I./Referent in copy). Before submitting your request, we recommend reviewing the following page to identify the solution that best fits your needs:

SISSA has a number of dynamic distribution lists populated from institutional records (ex.: all-sissa-users, all-students, all-maths-users, etc.)
These distribution lists are automatically generated from the institutional registry.
Membership is assigned according to institutional records and the associated authorization model; users cannot request to join or leave these lists, nor can their membership be managed manually. For further details, please refer to the dedicated page.

Mailman is a mailing list management platform that allows users to create and manage custom distribution lists. It is recommended when you need:

  • Add non-SISSA email addresses
  • Full control over membership and permissions
  • Advanced message moderation
  • Granular sender restrictions
  • Independent administration by list owners

Mailman lists are entirely self-managed by lists-owners. List owners are responsible for membership, permissions, moderation policies, and configuration.
Unlike the other services provided by SISSA, authentication is independent from SISSA institutional credentials: access to the list administration interface requires a dedicated Mailman password.

Here's a link to the web page that has a listing of all the publicly advertised mailing lists: lists.sissa.it

  • List administrators: you can also access the link to find the management interface for their list from the above page (bottom left).
  • Want to subscribe or just have a look: Click on a list name to view the info page for that list. There, you can learn more about the list, subscribe to it, or find the current roster of subscribers.

To visit the info page for an unadvertised list, append to the URL http://lists.sissa.it/mailman/listinfo a “ / ” followed by the name of the list you want.

As SISSA actually adopts Microsoft 365 as its institutional collaboration platform, Microsoft-based services provide a more integrated and user-friendly experience than standalone solutions.

Depending on the service, users can manage part of the configuration autonomously through Outlook on the web, benefit from native integration with calendars and other Microsoft 365 applications, easily discover and interact with institutional users, and access all resources using SISSA Single Sign-On (SSO) credentials.
